How to set up an Exchange Account in Microsoft Outlook?

If you have an Exchange account at HKUST, you can configure Microsoft Outlook with the steps below. The following guide applies to Microsoft Outlook 2007, Microsoft Outlook 2010 or above. If you are using Outlook 2003, you may keep access your mailbox via the IMAP connection to "imap.ust.hk" without the calendar features or you may consider to upgrade your Microsoft Office Suite to the latest version.

  1. Quit Microsoft Outlook if it is running.
  2. Click the Windows Start button and select Control Panel, then type mail into the Control Panel's search text box. Double click on the Mail icon to open the configuration window.
  3. If you see the screen below, click Show Profiles... (it won't show if you do not have any profile, just jump to step 4).

    Note for existing Outlook users: If you are a Microsoft Outlook user, select Email Accounts... and then to set up your Exchange account within your existing profile (skip step 4-5 and jump to step 6) so that you can copy your contacts, calendar items, etc. to the new Exchange account.
  4. Click Add... to start the configuration of a new Exchange account.
  5. Enter a Profile Name (e.g. Exchange at HKUST) and click OK
  6. The Auto Account Setup window will display. Enter your full name in the "Your Name:" field, your HKUST email address in the "E-mail Address:" field and your ITSC Network account password in the "Password:" / "Retype Password:" fields. Click Next.
  7. If you are prompted to enter username and password during Auto Account Setup, please enter your email address and the password; click OK to close the pop-up window.
  8. If you e-mail account is successfully configured, click the Finish button to complete your account configuration.
  9. Remember to select your newly added profile, "Exchange at HKUST" in our example, from the drop down menu "Always use this profile" unless you prefer the other "Prompt for a profile to be used" option. Click OK to close the Mail configuration window.
  10. Open Microsoft Outlook. Enter your email address and password in the pop-up window. The mail on the Exchange server will then download to your Outlook client.
